Configure user configuration permissions on the platform
To enable Greenhouse/Mindsight integration, you will need to receive the developer permission. To do this, you must have the "Can manage ALL organization's API Credentials" permission status.
Contact a Greenhouse user in your organization who has Site Admin level permissions and who also has the additional user-specific permission "Can edit another user's advanced permissions". This person will need to apply API (Application Programming Interface) credential management permission to your account. The user with this site administration permission level can edit the permissions of their user account by
navigating to the configure icon.
Path: Configure > Users > Your name
The user with "Site Admin" level permissions should navigate to the permissions panel on their user page and expand the "Developer Permissions" drop-down menu.
Select "Can manage ALL organizations API Credentials". When finished, click on "Save".
Repeat the same process whenever it is necessary to give access to other user(s) to establish the integration.
Create a Harvest API Key for Greenhouse/Mindsight Integration
To create a Harvest API key for the integration, click on the "Configure" icon in the upper right corner. Navigate to"Dev Center" on the left panel.
On the "Dev Center" page, click on "API Credential Management".
On the “API Credential Management” page, click on “Create New API Key” to generate an API key for Mindsight.
In the "Create new credential" dialog box, name your API key and select "Harvest" from the drop-down menu. When finished, click "Create".
On the "Manage API Key Permissions" page, select any required API key permissions for the integration. When finished, click "Update".
Your Harvest API key for the Greenhouse/Mindsight integration will be created and configured. Provide your Harvest API key to your Mindsight team so they can set up the integration.
Add custom company fields for candidates
To create a custom company field for candidates, click the Configure icon in the upper-right corner. Navigate to "Custom Options" in the left pane.
On the "Custom Options" page, click Company Custom Fields > Candidates
Then click on “Add Field”.
The user must create 5 different fields that follow below:
- Type: Date
- Field 2: Mindsight - Reasoning
- Type: Number
- Field 3: Mindsight - Social
- Type: Number
- Field 4: Mindsight - Motivational
- Type: Number
- Field 5: Mindsight - Fit Cultural
- Type: Number
Example:
After saving all the required candidate fields, click on the "Edit" icon and copy "Immutable Field Key". Provide this information to your Mindsight team so they can set up the integration.
Phase Mindsight's testing throughout the process
Once the Greenhouse/Mindsight integration is enabled for your organization, you can add the Mindsight assessment as an Interview step.
To do this for an existing job, navigate to a created job (All Jobs>Job Name) and click "Job Setup" in the "Job" navigation bar.
From the "Job Setup" page, navigate to "Interview Plan" in the left pane. Scroll down and click "+ Add Stage".
In the "Add Stage" dialog box, select the desired Mindsight test. When finished, click "Add" to apply the step to the job interview plan.
Note that there will be three phasing options:
• Mindsight - Complete Archetype: allows application of all 5 Mindsight tests in a given phase.
• Mindsight – Fit Cultural: allows application of the culture test only in a certain phase.
• Mindsight - Standard Archetype: allows the application of 4 tests at a certain stage, namely: cognitive ability test, social ability test, motivational ability test and profile mapping.
Review the Test
When candidates are transferred to the Mindsight interview stage, they will automatically receive the assessments in their emails.
Once the candidate has submitted their test, you will be able to see their results. To do this, navigate to a job (All Jobs>Job Name) and click on "Candidates" from the job navigation bar.
From the "Candidates" page, navigate to "Profile Details" in the left pane. Scroll down and select the appropriate custom field and grade scale chosen for the analysis.
Click on the candidate's profile. The results will be displayed within the "Details" page:
